We are seeking a Firm Administrator / HR & Operations Manager for a thriving firm in Atlanta, GA. This role is responsible for managing the daily operational, HR, and administrative functions of the firm. This individual serves as the primary liaison between the partners, associates, and staff, ensuring smooth internal communication, effective process management, and a supportive, well-run workplace. The ideal candidate is proactive, organized, highly professional, and capable of growing from a strong administrative leader into a strategic operational partner.
Key Responsibilities
Human Resources Management
- Oversee full-cycle hiring and recruitment for all staff positions.
- Manage attorney hiring activities including summer clerk programs, intern programs, and OCI interviews.
- Conduct onboarding for all new hires, including offer and declination letters.
- Handle employee relations and day-to-day personnel issues.
- Ensure compliance with ADA, FMLA, overtime laws, and personnel file maintenance.
- Oversee annual performance review processes for associates and staff.
- Manage staff workload distribution and monitor project flow.
- Maintain calendars for employee birthdays, tenure, and office directories.
Operations & Administrative Leadership
- Attend partner meetings and act as liaison between partners and staff.
- Oversee firm social events, staff retreats, partner dinners, and other internal gatherings.
- Manage website updates, additions, and content changes.
- Supervise administrative support team including receptionist, admin assistant, billing coordinator, office assistant, and courier/IT support.
- Coordinate annual office holiday schedules (ATC).
- Support office supply ordering and general administrative functions.
Insurance & Risk Management
- Serve as point of contact for annual insurance renewals and applications (approximately eight policies).
- Collaborate with multiple brokers on:
- Health Insurance
- Errors & Omissions (E&O)
- Workers' Compensation
- General Liability
- EPLI
- Gather financial and statistical data required for renewals.
Payroll & Financial Coordination
- Provide back-up support for payroll (processed in PayChex).
- Partners paid monthly; staff paid bi-monthly.
- Serve as backup 401(k) Plan Administrator.
- Support Accounting Manager where needed (primary financial responsibilities remain with Accounting).
Desired Skills & Experience
- Prior experience in HR, operations, office management, or law firm administration preferred.
- Ability to manage multiple priorities and maintain confidentiality.
- Strong communication and interpersonal skills with a professional, diplomatic approach.
- Experience supporting attorneys or professional services teams is highly valued.
- Capable of developing from an administrative role into a proactive operational leader ("walk before you run").
- Familiarity with insurance renewals and multi-policy administration a plus.
- Payroll experience (PayChex) beneficial but not required.
